We are seeking an Administrative Coordinator, which is a key role on our Donor Impact Team. This position will provide administrative and clerical support to the department.


What You’ll Do:



  • Develops and maintains calendars via Outlook and other tools

  • Responsible for meeting set up and logistics, including scheduling and preparing materials for on and offsite meetings as required

  • Manages correspondence with and provides excellent customer service and professionalism to volunteers, external contacts, donors, staff and other constituents

  • Maintains accurate rosters for volunteer committees reporting to the manager in organizational databases for organization-wide use, as applicable

  • Detail-oriented, ability to troubleshoot and multitask

  • Ability to prioritize and manage time and tasks in order to meet strict deadlines and work in a fast-paced environment with minimal supervision

  • Basic databases management work

  • Maintains, and modifies basic data spreadsheets and databases

  • Prepares communications including letters, memos, minutes, reports and meeting agendas

  • Works with Vice Presidents and above to coordinate travel arrangements including: airline, hotel, ground transportation needs

  • Assists with maintaining and ordering office supplies as needed

  • Assists with office productions such as mailings, copying, scanning, faxing, etc.

  • Front desk reception coverage as determined by the schedule rotation

  • May provide additional cross departmental support as needed

  • Perform ad hoc projects


What You’ll Need:



  • At least three to five years previous administrative support experience

  • Demonstrated ability to work and function with confidential information and data

  • Experience taking meeting minutes

  • Excellent communication skills, both written and verbal, with staff and external constituents at all levels

  • High level of professionalism, integrity and customer service skills.

  • Proficiency in Microsoft Office applications, specifically Word, Excel and Outlook with the ability to construct and analyze data

  • Proven comfort level working in a systems environment, with ability to learn and use new software and systems as required.

  • Works well in team environment.

  • Valid Arizona driver’s license, proof of automobile insurance and daily access to personal vehicle

Pay range: $17-$18 per hour
