We are seeking an Accounting Coordinator, which is a key role in our Finance department. This position will provide a variety of departmental support responsibilities for Finance-related activities that contribute to the execution of VSUW’s overall initiatives.

What You’ll Do:

  • Process and manage travel (for example, hotel, air, conference registrations, and transportation) for employees and partners traveling on behalf of organizational business.

  • Serve as primary scanner and indexer of confidential Finance documents.

  • Complete monthly financial reconciliation reports to ensure accurate posting to the General Ledger.

  • Process journal entries in accounting system.

  • Create outgoing invoices for the organization and track status of receivables.

  • Monitor and reconcile credit accounts.

  • Oversee purchasing card process for volunteer programs.

  • Manage the stale and outstanding check process, following Unclaimed Property Laws.

  • Assist in annual audit by gathering requested support.

  • Assist with Front Desk Reception coverage as determined by schedule rotation.

  • Assist with facilities management, including meeting set up and logistics, office supplies, and other duties, as necessary.

  • Assist with office productions such as mailings, copying, scanning, faxing, etc.

  • Engage in clear and concise communications and provide excellent customer service to internal staff and external customers.

  • Respond to inquiries via phone and email.

  • Communicate regularly with Finance Director and Finance Team.

  • Work closely and support cross-functional team to ensure high quality service.

  • Engage in data entry, organizing of files, and performing miscellaneous projects such as creating spreadsheets to track information and required documents. 

  • Modify and improve filing systems, or implement new filing systems, when necessary, for functions described above.

  • Maintain, modify, and improve organizational policies, processes, and procedures as necessary, for functions described above.

  • Perform ad hoc projects

What You’ll Need:

  • Three years of experience in an accounting or financial setting.

  • Knowledgeable in Microsoft Office Suite.

  • Ability to quickly learn and use new software and systems.

  • Demonstrated independent thinking and ability to connect the big picture in day to day work and projects with minimal supervision.

  • Strong communication skills, both written and interpersonal.

  • Exceptional attention to detail..

  • Team player who is able to provide excellent service with staff and external customers.

  • Ability to work and function with confidential information and data.

  • Work with a sense of urgency with the ability to look ahead and take charge of a situation often solving problems and think critically about various situations.

  • Have strong project management skills with the ability to set priorities meet deadlines and balance demands of multiple tasks, competing demands, and changing priorities.

  • Works well in team environment

  • Valid Arizona driver’s license, proof of automobile insurance, and daily access to personal vehicle. 

  • Are used to working in a remote environment (not all positions work remotely, but many of our team mates work out of the office 1-4 days per week).

You’ll Really Catch Our Eye If You Have:

  • An Associate’s or Bachelor’s degree in business, finance, or a related field.

  • Non-profit experience.

  • Travel booking experience.

Pay range: $19-$20 per hour
